With Glances, you can create a new QuickBooks customer, invoice, estimate, etc directly from the monday.com item. Glances refers to this as Actions, which allow you to complete tasks in another app without navigating away from the one you're in. Commonly used Actions are creating invoices, creating estimates, converting estimates into invoices, and duplicating invoices.
This is accessed through the Glances app within the item view of monday. Once you add the Glances app to the item view, you will have access to all QuickBooks Actions.
If you don't yet have a Glances account, we recommend starting a free trial and connecting both QuickBooks and monday.com. |
Here are some popular ways this feature is used.
- Manually populate the invoice or estimate information
- Automatically populate the invoice or estimate using monday data
- Use monday sub-items to populate products and services
- Prioritize invoice or estimate items based on Status
- Sync data back from QuickBooks to monday
Manually populate the invoice or estimate information
When creating estimates or invoices, you always have the option to create them and fill in the services and products manually.
Automatically populate the invoice or estimate using monday data
Teams can prevent errors by reducing manual data entry. Glances does this by mapping data from monday columns and automatically pulling it into invoice or estimate fields. This allows you to pre-fill data into the invoice, like customer memo or private notes.
Use monday sub-items to populate products and services
In addition to populating fields on the invoice itself, Glances can also automatically pre-fill products and services based on sub-items.
In the screenshot above, you see the sub-item data pulls into the invoice. Here are some common mappings customers use:
monday.com Board Column | QuickBooks Invoice Field |
Subitem name | Description |
QB Product/Service* | Product or Service* |
Quantity | Quantity |
Price | Unit Price |
*To use pre-fill this data, the fields for each product/service must match exactly in both monday.com and QuickBooks.
Prioritize invoice or estimate items based on Status
Using a Status column, Glances can determine what needs to be included in the invoice or estimate, pulling in just the items you actually want to include. This is helpful when your board may have unique customers as items, but use sub-items to track various orders over time.
