With Glances, you send data from monday to QuickBooks, such as creating QuickBooks invoices, estimates, customers, and sub-customers. We call these Actions.
These Actions are available by default in any Professional level plan.
You can pre-fill data from monday columns into these Actions to reduce manual data entry, remove human error, and work more consistently across teams and departments. For example, in the image below a new QuickBooks customer is being created and the form pulls in column data, such as name, email, and phone number to automatically fill in the fields. (If you get stuck along the way, please reach out to support@glances.com or schedule an onboarding call.)
Mapping these fields can be done directly in the app by any Glances admins. Here's how to map fields from monday to pre-fill your QuickBooks Actions:
- Open Glances and navigate to the Action you want to map.
- Click the Configure field mappings gear icon in the top right corner of the Action.
- For most fields, you'll note there are 3 fields: SET, LOOKUP, DEFAULT. (Some fields, like for invoices, there may be more fields or the option to create an iterator (details coming soon). If you have questions about what should be selected, please reach out to support@glances.com.)
-
Fill in the SET, LOOKUP, and/or DEFAULT fields.
SET: The SET field will tell Glances what to fill this field with. Your SET field will typically have one of the 3 options below, with VALUE being the most commonly used:
SET Value Plain English Example Use VALUE "Fill this text box with this kind of data" Invoice total, description, custom text field, quantity OPTIONS "Pick this choice from a dropdown" Product selector, tax code, status dropdown PLACEHOLDER "Show this hint text (doesn't save)" "Enter PO number here..." (disappears when typing) LOOKUP: Where to go get the data. The LOOKUP field will tell Glances which column in monday it should grab the data from. For example, in the above screenshot the LOOKUP for our display name is pulling from the Item Name. Because Glances will display the data it sees for the item you're in during this process, you'll want to select the LOOKUP that most closely resembles the data you're expecting for that field. DEFAULT: This field will tell Glances what to use if monday has no data. For example, if there is no data in the LOOKUP column, what should be used instead (as a backup)? If you don't have a predetermined default, you can leave it empty. - Continue to fill in all the fields you know you have column data for and then click the Save mappings icon in the top right corner of the page. If you navigate away without saving, no changes will be made.
- Refresh your monday page and then attempt the Action to confirm the data pulls in as expected.
